In this article, we explain how to set up Hipcall in under five minutes.
The article consists of two sections. The first section covers how to configure your PBX in six steps after registering with Hipcall. The second section includes sample setup videos featuring various industry-specific scenarios.

Cloud Phone System Setup in 6 Steps

1. Create Users

To create a new user in Hipcall, open the Settings > Users section.
Click the “New” button located at the top right corner.

  • Assign an extension number to your user (e.g., 1000, 1001) and fill in the required information.
  • If you grant the user admin privileges in the “Role” section, they will have the same permissions as you.
  • If no role is selected, the user will start using the application with basic features only.
  • After entering the necessary details, click the “Invite” button at the bottom left to send an invitation to the new user.
  • By inviting multiple people this way, you can easily grow your team.

2. Enable Call Recording

In Hipcall, you can record incoming, outgoing, and internal calls.
To enable call recording, go to Settings > Phone System > General.
On the page that opens, you can specify which types of calls should be recorded.

3. Set Up the Call Group

When you first register with Hipcall, a default call group including all users will be automatically created.
You can edit the users in the existing call group by going to Settings > Teams > Action.

To create a new call group:

  • Go to Settings
  • Click on Teams
  • On the right side of the page, click the “New” button
  • Assign a name and an extension number to your team
  • Choose a strategy:
    • Random Routing: sends the call to a randomly selected online user
    • Least Talk Time: routes the call to the user with the shortest cumulative talk time
    • Priority Order: define the sequence of users who should receive the call
  • Click "Save" to add the call group

4. Customize Your Greeting Announcements (Optional)

To manage your greeting announcements, go to Settings > Phone System > General > Greetings.
Two default audio files are available: one for the welcome message and one for after-hours.
To proceed, click the “Action” button.

After the announcement:

  • Define the default destination (e.g., extension, call group, smart routing)
  • Adjust keypress actions and timeout settings in Optional Keypad Settings
  • Click "Save" to apply changes

For custom announcements, email your script to hello@hipcall.com
Your representative will prepare the audio file.

5. Register Your Number with Hipcall

You can add multiple VoIP numbers to your account.
To begin, go to Phone Numbers in Settings.

Steps:

  • Click the “New” button
  • Enter your number, assign a name, and select the regional language
  • In Step 2, enter connection details:
    • For Bulutfon: go to Voice > My Numbers in your Bulutfon panel and copy the info
    • For other providers: obtain host/IP, SIP username, and SIP password
  • In Step 3, define working hours and call destinations
  • Specify who can use the number and click "Save"

6. Make a Test Call

Place a test call to your landline number.
After the greeting announcement, the call will route to the default destination.
Ensure your internet connection is active.
All calls will be listed on the Communication > Calls page.
To listen to recordings, click “Action > Show” next to the call.
