Quick Start to Hipcall for Users
In this article, we’ll provide a quick start for users who are using Hipcall for the first time. Our goal is to help you set up your profile settings and introduce the most commonly used modules — all in under 10 minutes.
Get Started with Hipcall in 5 Steps
1. Set Your Status
To receive calls, click on "Profile" in the top-right corner and set your status to "Available".
- If your status is Busy or Away, the system won’t transfer or deliver calls to you.
2. Choose Your Default Number
- Click on "Profile" in the top-right corner.
- From the left menu, click on Phone Number Settings.
- Select the number you want to display when making calls and click "Update".
- Outbound calls will use your default number, but you can switch to other assigned numbers anytime.
3. Set Up Your Extension (Phone)
3.1 Install Webphone for Desktop
- Add Webphone to Chrome.
- In the pop-up window, click "Add Extension".
- Once added, go to Extensions and launch "Webphone".
- It will be pre-configured with your Hipcall credentials.
- Your extension is now active. You can test it by calling the switchboard and dialing your extension.
Note: You can view default audio devices in the Account tab. If none appear, check your computer’s sound settings. To make calls, ensure your microphone, speaker, or headset is connected.
3.2 Set Up the Mobile App
- Click "Profile" in the top-right corner.
- From the left menu, go to "Device Settings".
- Click "Regenerate" and scan the QR code with your mobile app.
4. Forward Your Calls (Optional)
You can forward incoming calls to another extension (user, announcement, call group, voicemail, etc.) or to an external number. Make sure your status is set to "Available" — otherwise, the system won’t forward calls externally.
To set up call forwarding:
- Click your avatar in the top-right and go to "Profile".
- From the left menu, click Call Forwarding.
- Choose when calls should be forwarded.
- Select whether to forward to an extension or an external number.
- If forwarding externally, enter the destination number.
Note: Forwarding only works when the caller dials your extension directly or reaches you via an announcement. These calls won’t be recorded. Calls routed through call groups or smart routing won’t trigger external forwarding.
5. Set Up Your Voicemail (Optional)
If you miss a call or your extension is unreachable, callers can leave you a message. To activate voicemail:
- Click your avatar in the top-right and go to "Profile".
- From the left menu, click Voicemail Settings.
- Click "Update".
- Set the Active field to "Yes". A default audio file is provided, but you can upload a new one via Choose File.
- Under "Action", select "Email" or "Task", then click "Save".
