What is an extension and what are its types?
Companies use extension numbers in their phone systems to route calls efficiently. Extensions provide a direct and effective way to communicate with specific individuals or departments within an organization.
What Is an Extension and What Are Its Types in Hipcall
An extension is a dialable component of the PBX system. It can represent a team, a user, a smart routing rule, or a greeting. Typically, the caller first dials the company’s main number, then enters the extension number to reach the desired person or department directly.
Extension Types
- Hipcall supports multiple types of extensions.
1. User
Each account user in Hipcall can have a short number assigned as their extension. When the extension type is a user account, it is referred to as a user extension.
Example: 1010; Melek KARAKAYA
2. Greeting
If the extension target is a greeting, the extension type will be classified as a greeting.
Example: 12; After-hours greeting
3. Teams
When you create a team in Hipcall, you can assign an extension to it. Dialing that extension will route the call directly to the team.
Example: 100; Sales team
4. Smart Routing
While creating a smart routing rule in Hipcall, you can assign a default extension. This allows callers to reach the smart routing target directly by dialing the extension.
Example: 15; Smart routing – Transfer to last agent
5. Voicemail
When setting up voicemail in Hipcall, you can assign a default extension. Callers who dial this extension will be directed to leave a voice message.
Example: 300; Leave a voicemail
- To view all extensions in your Hipcall account, go to Settings > Phone System >Extensions
Ensure that the Direct Extension Dialing feature is enabled in your Greetings so callers can reach the relevant person, team, or greeting by dialing an extension.
