What is a greeting announcement (IVR)?

With an Interactive Voice Response (IVR) system, you can play custom audio messages to callers and route them to different call groups or internal extensions based on their keypad input.

What Is a Welcome Announcement (IVR)?

A welcome announcement—also known as a robot operator, IVR (Interactive Voice Response), or greeting menu—is a voice message played to callers based on predefined rules when your phone number is dialed.

For example:

  • During business hours: “Welcome to ABC Company. If you know your extension, please dial it. Otherwise, wait for the operator.”
  • Outside business hours: “We are currently closed. You can reach us between 09:00 and 18:00.”

IVR Features in Hipcall

  • You can create unlimited nested welcome announcements.
  • You can assign shortcuts to keys 0–9 (e.g., Press 0 for the secretary, Press 1 to return to the main menu). You can also define actions for cases where no key is pressed.
  • You can generate reports when an announcement is played to a caller.
  • You can select and upload your desired audio file directly in Hipcall.

Supported Audio Formats

You can use .wav or .mp3 audio files for welcome announcements.
Prepare your announcement and upload it via the Hipcall virtual PBX system, or email the script to your customer representative to have the audio file created for you.
